How to Bulk Print E-Mail Messages

So you need to print out a bunch of emails? You’ve come to the right place. This article will discuss serveral ways to bulk print email messages.

Printing From Your Email Client

Most email clients provide a method to print multiple email messages.  In Microsoft Office Outlook, for example, bulk printing emails is as easy as selecting multiple mails from the list, right clicking on the list and then choosing “Quick Print.”

Most email clients have this ability, or something similar. It’s possible your situation may be more complex.  For example, what if you are a legal secretary tasked with printing out emails involved in a legal case, and the messages you received in discovery are in different formats, and not viewable in your email client software?

Printing Emails Using an Email Viewer

How to Batch Print .EML Files

Printing .EML files can be a very tedious chore. If you are using an email client like Outlook or Thunderbird to open individual .eml files and print them, then you are engaging in a very labor intensive task.  Opening .eml files this way works if you only have a few to print, but what if you have a folder filled with hundreds or thousands of .eml files?

EML Viewer Pro will allow you to batch print any number of selected EML files. First, start EML Viewer Pro and using the folder navigation to select the folder containing the.eml emails you want to print. The messages will quickly populate the software’s Mail List.

Do “Ctrol-A” to quickly select all of the emails in the list.  The selected emails will appear blue.

Next, click the Print button from the EML Viewer Pro toolbar.

A printer dialog will appear. Choose the printer (or virtual printer) on which you want to print .eml files.

That’s all there is to it. EML Viewer Pro will start printing your emails. You can go have some coffee while it’s printing.

If you can send eml files to a printer, can you also batch print .eml files to a PDF file?  Yes, you certainly can! One options would be to tell EML Viewer Pro to print to a virtual PDF printer, such as the free BullZip virtual PDF printer.  Virtual printers may each behave a bit differently, so you should be aware of any peculiarities with your chosen software.

If you want to print multiple .eml files to a single PDF, make sure your virtual printer will support that. Many virtual PDF printers will print separate PDF files, but some will create a single .pdf file.
